2025 Spring General Meeting: Extension of Deadline for Submitting Motions

The Board have made the decision to extend the deadline for the submission of resolutions and members’ votes for the 2025 Spring General Meeting by ten days, with the deadline now noon on Thursday 10th April.

Although the date (15th May) was communicated in recent board reports and minutes, it was realised that this had not been communicated in the usual manner via an article to co-owners a couple of weeks ahead of the 45-day deadline (31st March) for the submission of motions. Whilst this advance notice is not something that is specified in the club rules, it is clearly an important part of the process of letting co-owners know the process for submitting motions and has become expected practice.

Having sought guidance from Co-Operatives UK, we have taken the decision to extend the deadline to Thursday 10th April (35 days ahead of the General Meeting). Whilst this is a deviation from the timeline specified in the rules, it is one that provides fairness for co-owners in giving them sufficient opportunity to submit motions ahead of the meeting. The period of extension of 10 days was chosen with regard to Rule 29(c) relating to conflicting motions which specifies a period of 10 days for such motions to be considered and consolidated. Whilst the current situation doesn’t directly relate to such a circumstance, we felt that this period provided the most appropriate compromise.

We apologise for the oversight in this case, and having sought external guidance, trust that co-owners understand the reason for this decision.

Submitting Resolutions and Members’ Votes

The 2025 Spring General Meeting will be held at Broadhurst Park on the evening of 15th May 2025, and will also be broadcast online. All members will receive full formal notification of the meeting no later than 21 days before the meeting.

Any members intending to submit proposed resolutions are strongly urged to read Rule 29 of the club’s constitution here. If any member is considering putting forward a resolution or members’ vote but requires assistance, please contact the office prior to the cut-off date. which is noon Thursday 10th April 2025, being 35 days before the date of the General Meeting. 

Rule 29 also provides that the member giving notice of the proposed resolution or members’ vote must give the club their justification for that proposed motion, as well as its form and content, and that the notice of the resolution or members’ vote must be signed by the proposer as well as five other members.
